Kiosk Feature

This guide explains how to use the Kiosk feature in MAXsi POS (menu: Kios-K). It’s intended for users (cashier/admin/owner) who manage kiosk QR codes, kiosk list, and kiosk orders.

What is Kiosk?

Kiosk lets you create a dedicated QR code per table/area so customers can view a menu and place orders on their own. Customer orders appear in the app under Kiosk Orders, where staff can monitor and update the order status.

Best Use Cases

Kiosk is ideal for businesses that take orders “per table/per area” and need a flow like: order comes in → processed → delivered/served → paid.

Examples:

  • Cafes & restaurants (dine-in per table)
  • Food stalls, coffee/drink shops, food courts
  • School/office canteens
  • Events/bazaars (table number / queue number concept)
  • Karaoke/billiard/lounge (orders per room/table)

If you don’t use tables, you can still use Kiosk with “area/location” or “queue number” naming.

Quick Flow

  • Create a QR: Kiosk Generator → fill fields → Generate QR
  • Manage kiosks: Kiosk List → view QR/URL → edit, rotate, enable/disable
  • Monitor orders: Kiosk Orders → view orders → update status

Accessing the Menu

  1. Open Kios-K in the app.
  2. Choose:
    • Kiosk Generator: create a new QR.
    • Kiosk List: see existing kiosks.
    • Kiosk Orders: monitor incoming orders.

Note: if the menu is not accessible, ensure your account has the required permissions.

Kiosk Generator (Create a QR)

Goal: create a QR for a table/area that customers will use.

Steps:

  1. Enter Table Name (example: Table 1, Table 2, VIP-01).
  2. Select Customer (default customer for transactions).
  3. Select Biller (responsible entity).
  4. Select Warehouse (branch/location).
  5. Select Categories (product categories shown in the kiosk menu).
  6. Tap Generate QR.

Result:

  • The kiosk QR is created and ready to be used.
  • On success, you’ll see a confirmation (e.g., “Kiosk created successfully”).

Tips:

  • Make sure categories are correct so the kiosk menu matches your setup.
  • If required fields are empty, the app will reject and show a “Complete all required fields” message.

Kiosk List (View & Manage)

Goal: view all kiosks and manage QR/URL and settings.

You can:

  • View kiosk list (table name, active/inactive status).
  • View QR and kiosk URL.
  • Copy the kiosk URL to share.
  • Rotate QR (generate a new QR for security).
  • Edit kiosk data (table, customer, biller, warehouse, categories).
  • Enable/Disable kiosks.

Quick steps:

  1. Open Kiosk List.
  2. Select a kiosk card.
  3. Use actions:
    • Edit: update kiosk data.
    • Copy: copy URL.
    • Rotate: rotate QR.
    • Enable/Disable: toggle active state.

Important notes:

  • Disabled kiosks cannot be used for ordering.
  • Rotate QR is recommended if the old QR has been widely shared or is no longer secure.

Kiosk Orders (Monitor Orders)

Goal: view and manage incoming kiosk orders.

Main functions:

  • View orders per table.
  • See ordered items and quantities.
  • Update order status.

Common statuses:

  • Order
  • Process
  • Delivered
  • Payment

Steps:

  1. Open Kiosk Orders.
  2. Tap the status chip on an order card.
  3. Choose the next status based on your real workflow.

Notes:

  • Orders may refresh automatically (for example every 60 seconds).
  • If status update fails, the app shows an error message.

Troubleshooting

  • Empty list: ensure kiosks exist and orders have been placed.
  • Can’t generate/edit: check connection and complete required fields.
  • Status won’t change: retry and ensure a stable connection.

Best Practices

  • Use consistent table naming (e.g., Table 1, Table 2, VIP 1).
  • Keep kiosk categories focused so the menu stays simple.
  • Check Kiosk Orders regularly during peak hours.
  • Rotate QR if you detect suspicious or unintended use.
